What Data Sources Are Available & How A Data Source Can Be Changed

What is a Data Source?

Put simply, a Data Source is where the information from your SiteDocs account is stored. To populate your Dashboards, SiteDocs Analytics pulls from a few different Data Sources. Each one functions and refreshes a little differently.

What kind of Data is Stored in Data Sources?

There are two types of Data in SiteDocs Analytics; General Data and Form Item Data.

General Data holds information that every SiteDocs account has, like Worker Names, Location Names, Certificates, etc.

Form Item Data holds the answers to the questions on your Custom Forms that only exist in your SiteDocs account.

Data Source Options Include:

Last 14 Days:

  • Updates approximately every 2 hours on the hour.
  • A rolling 14-day Data Source that includes General Data and Form Item Data.
  • Primarily used when you need to see Form Item Data widgets more frequently.
  • Keeps up to 14 days' worth of information.
  • Example: Use this for looking at deficiencies on Equipment or Jobsite Inspection Forms when frequent updates are needed.
  • Note: This Data Source stops updating around 8:00 pm PST each night and starts again when SiteDocs Data 1.1 has finished refreshing.

SiteDocs Data:

  • Updates approximately every 2 hours on the half-hour.
  • Holds General Data from the beginning of your account up until the most recent refresh. SiteDocs Data does not hold Form Item Data.
  • All stock Dashboards use SiteDocs Data.
  • Example: Use this for building a Compliance Report when wanting to know how many Workers have completed a certain number of Forms within a time period, or which Location hasn't yet completed a Form.
  • Note:This Data Source stops updating around 8:00 pm PST and starts again when SiteDocs Data 1.1 has finished refreshing.

SiteDocs Data 1.1 A/B/C/D/E/F/G:

  • Updates once a day between approximately 10:00 pm - 3:00 am PST.
  • Holds General Data and Form Item Data from 365 days ago until the most recent refresh.
  • Helpful for seeing trends over the course of months, years, quarters, etc.
  • Example: Use this for Investigation Reports, Inspection Reports, Compliance Reports, etc. that are reviewed monthly or quarterly (reports that do not require daily updating). 
  • Note: This Data Source is split into sections because the data source is fairly large, which is also why it only refreshes once a day.

All Time - Weekly A/B/C/D/E/F/G:

  • Updates once a week on Sundays between approximately 10:30 am - 3:30 pm PST.
  • Holds General Data and Form Item Data from the beginning of your account up until the most recent refresh.
  • Helpful for seeing trends over the course of months, years, quarters, etc.
  • Example: Use this for Investigation Reports, Inspection Reports, Compliance Reports, etc. that are reviewed yearly (reports that do not require daily updating). 
  • Note: This Data Source is split into sections because the data source is quite large, which is also why it only refreshes once a week.

How Can A Data Source Be Changed?

In the top left-hand corner of any Analytics Dashboard, there is a dropdown menu that allows you to select the Data Source for your Dashboard.

To change your Data Source, select the "SiteDocs Data" button and then "Change Data Source". This will show you a list of the Data Sources available in your Analytics account. Select the one you need.
