Location Visibility: The Difference Between All Workers Vs. Workers Assigned

Why Location Visibility Matters

When a Worker signs into the SiteDocs 2020 app or Web App, they will only see the Locations that have been made visible to them, which means they can only complete documents under those specific Locations.

Accessing a Location gives the Worker the ability to:

  1. Sign any Form or Resource on that Location.
  2. When permission is granted, view a list of any other Workers assigned to that Location.
  3. When permission is granted, access every assigned Worker’s Certificates and other Profile information.

Location Visibility gives Admins the ability to automatically add new Workers to every Location that is set to “All Workers” visibility, while also providing flexibility to make some Locations more exclusive with the “Workers Assigned” visibility. It's a win-win!

 

The Specifics: "All Workers" vs. "Workers Assigned"

All Workers: Any Worker who is given App Access will automatically be able to see on the app any Location that has "All Workers" set as its visibility status. Or, put another way, "All Workers" visibility gives admins the ability to automatically add new Workers to every Location where the "All Workers" setting is applied. When a new Worker is added (or made Active) to your Workers list, this Worker will automatically be able to view any Location set to "All Workers". 

This is a useful setting for companies with a large number of Locations. If you simply want every Worker to see every Location (or even some) in the app, this is the option to choose.

Workers Assigned: Only Workers who have been manually assigned to a specific Location can see this Location on the App. When a new Worker is added (or made Active) to your Workers list, this Worker then has to be manually assigned to any Location with "Workers Assigned" set as its visibility status. 

This is a useful setting for companies that have sensitive documentation and/or Locations specific to Management, because only those assigned to the Location can sign documents and access previously-signed documents under that Location.

How To Set Location Visibility

1. The Visibility Column is added to your Location Page by default but, if you do not see it, select the Settings wheel to add the “Visibility” Column back to the Page.

2. Use the drop-down menu in the Visibility column to select whether a Location is visible to All Workers or just Workers Assigned.

Note: You can change several Locations at once by selecting them all and updating the setting in the blue bar at the top of the screen.

Set a Default Visibility

Save even more time by choosing the default setting for any new Locations created.  If the majority of your new Locations have the same Visibility level, just navigate to the bottom of the Location list and choose the default.
