We have two fantastic options when adding PDFs to your Forms - by adding a PDF into the Form Template itself (View Form Item) and by allowing your workers to add a PDF directly into a Form while filling it out in the App (Insert PDF).
Insert PDFs
The Insert PDFs Form Item allows users to insert inline PDFs from their mobile device or computer or insert a Resource from the Resource Menu.
Building This Into Your Forms:
From the Form Builder in the Admin Panel (under Setup), either edit a current form or create a new form. Either way, when you select "Add Item" you'll see the "Insert PDFs" addition to the Form Item Library near the bottom of the list.
Using this Item in the Field
When selecting “Add File” in their Mobile App, Workers will be able to insert inline PDFs from their mobile device or computer. Workers can also insert a Resource from their Custom Menu.
When selecting "Resource Library", if a Location Specific Menu is enabled, that Menu will show. If not, the Main Resource Menu will show.
All pages of the Resource or PDF will show in the completed Form. If the Form was signed with the wrong PDF uploaded, Revising the Form will allow Workers to replace the uploaded PDF with a new file.
A Few Ways You Might Use The Insert PDF Form Item:
- Adding the required documentation to a SWMS Document
- Adding a Toolbox Talk Resource to a Toolbox Meeting form
- Adding a Site Map to a Site Inspection
- Adding a list of Emergency Contacts to a Site Orientation
Our recommendation for a great experience?
- Password Protected PDFs ARE Supported by the Insert PDF Form Item
- The SiteDocs Application will ask for the password to add it to the form and once it is signed it will ask you for the password to view it in the finished Form.
- No more than eight 2-10 page PDFs per Form
- No larger than 30MB for a single PDF (in fact, any larger than this and it won't upload at all)
- No larger than 300MB total uploaded PDFs per Form (in fact, any larger than this and it won't upload at all)
View PDF
With the View PDF Form Item, you can directly embed PDFs into your form templates so your Workers see specific PDFs right in the form itself.
Building This Into Your Forms:
From the Form Builder in the Admin Panel (under Setup), either edit a current form or create a new form. Either way, when you select "Add Item" you'll see the "View PDF" addition to the Form Item Library near the bottom of the list.
Printing These Forms:
Forms with a View PDF Form Item will not display the PDF File in the final Document. If you need to include the full PDF File in the Signed Document, we recommend using the Resources Section.
Our recommendation for a great experience?
- Password Protected PDFs are NOT Supported by the View PDF Form Item
- Password Protected PDFs ARE Supported by Resources if you need to upload them for Workers to Sign.
- No more than eight 2-10 page PDFs per Form
- No larger than 30MB for a single PDF (in fact, any larger than this and it won't upload at all)
Also, this form item only works with App version 3.7.2 or later. If you want your Workers to see the PDFs you embed in your form templates, please ensure they are on the latest version.
A Few Ways You Might Use The PDF File Form Item:
- Adding a Safe Work Practice on Working in Confined Spaces to a Confined Space Entry Permit form
- Including a Drug and Alcohol Policy to a New Worker Orientation form
- Interacting with a weekly Toolbox Talk by using other form items (questions) to further engage your team with the topic, recording everything in one form.
